SASS - Staff Assignment

SASS errors involve staff job assignments reported for a school or LEA. They may concern job classifications, assignment codes, dates, school ownership, or relationships to staff demographic and course-section records. Confirm that each assignment belongs to the correct SEID and accurately describes the employee’s duties during the reporting year.

FRMT0001 Wrong field length

FRMT0004 Invalid characters for numeric field

Data for a numeric field must be a number or a decimal point.

FRMT0005 Wrong format for Staff Job Classification FTE Percentage

Format for Staff Job Classification FTE Percentage must match CALPADS File Specifications (CFS)

FRMT0009 Invalid column count for file type

Format for invalid column (fields) count based on file type

GERR0001 Required Field Missing

A required field for the submitted Record Type is missing

GERR0002 Value Not Found in Reference Set

The value provided for the field is not a valid value from the CALPADS Code Sets

GERR0007 Code submitted outside the effective date range

Code submitted outside the effective date range

GERR0010 Fall 2 File Types Cannot be Submitted for Preschools

If the file submitted has a Record Type of SASS, CRSE, SCSE, or PSTS-F2, then the School must not be a Preschool.

IVR0001 Invalid Submitter

Reporting LEA must equal institution identifier of submitter User ID

IVR0002 Invalid Reporting School

School must be a valid code in CDS and have an active CALPADS reporting relationship with the Reporting LEA

IVR0006 Invalid Academic Year

Academic Year ID must be a valid academic school year combination and no more than one year in the future

IVR0106 Invalid SEID

SEID must be a valid SEID in the CCTC file

IVR0116 Duplicates within File based on Primary Key

Two or more records exist with the same primary key fields.

SASS0118 Staff Job Classification FTE Percentage Less than 1

Staff Job Classification FTE Percentage for a staff member must be greater than or equal to 1.

SASS0119 Staff Job Classification FTE Percentage Greater Than or equal to 200

Staff Job Classification FTE Percentage must be Less Than 200

SASS0120 Missing Non Classroom Based Job Assignment Code

For staff job classification 10, 11 or 14 (SASS 8.13), at least one of the seven nonclassroom assignment fields (8.15–8.21) must contain a valid assignment code other than 6018 (Employee on Leave).

SASS0163 Invalid School of Assignment

If Staff Job Classification Code = 26 then School of Assignment must be a charter school (CDS)

SASS0198 Invalid School of Assignment

School of Assignment must not be an NPS school of a Private School Group

SASS0201 School not open during Academic Year

School should be open during Academic Year reported

SASS0219 Invalid Non Classroom Based Job Assignment Code and Staff Job Classification Code combination values

Staff Job Classification Code and Non Classroom Based Job Assignment Code must be a valid combination as defined in the CALPADS Valid Code Combinations document

SASS0268 Staff Job Classification FTE Percentage Equals 1

The Staff Job Classification FTE Percentage appears to be very low and may not be an accurate reflection of the actual FTE percentage for the Staff Job Classification.

SASS0272 Invalid use of Superintendent-level Nonclassroom Based or Support Assignment Codes

In order to use Superintendent-level assignment codes 0100 (Superintendent) or 0102 (Deputy or Associate Superintendent), a staff person must be associated with the district or county office.

SASS0473 Non Classroom Based Job Assignment Codes 1-7 must be populated in sequential order

The preceding Non Classroom Based Job Assignment Code must be populated if the subsequent Non Classroom Based Job Assignment Code is populated.

SASS0474 Duplicate Non Classroom Based Job Assignment Code

Non Classroom Based Job Assignment Codes 1-7 cannot have a duplicate value for the same SASS record.

SASS0752 Non Classroom Based Job Assignment Code field populated when Job Classification Code = Teacher, Instructional Assignments (13)

When Staff Job Classification Code (8.13) is 13, the Fall 2 roadmap permits only 6018 (Employee on Leave) as a populated nonclassroom assignment code in fields 8.15–8.21.
