One person does not always mean one assignment record

SDEMEstablishes the staff member’s identity and employment history.
SASSOne or more records may describe assignments by school and job classification.

Illustrative principle: a principal who also teaches may require more than one SASS job classification. Do not create duplicate SASS rows with the same primary-key combination.

Recommended correction path

    Clear the SDEM prerequisite gate

    Confirm both rows refer to the same accepted SDEM identity and not to a mistyped SEID or a mistaken person match.

    Place the duplicate rows side by side

    Compare all SASS fields, especially the four primary-key fields, FTE percentage, and Non Classroom Based Job Assignment Codes 1–7.

    Identify the intended record grain

    Determine whether one row was repeated, two source-system positions were flattened into the same CALPADS job classification, or a legitimate second role requires a different job classification or school.

    Coordinate with the record owners

    Ask HR/personnel to confirm position and FTE; ask site leadership or scheduling staff to confirm the actual assignment; ask the extract owner how multiple local positions are consolidated.

    Correct the source or crosswalk

    Remove the accidental duplicate or consolidate supported values into the single permitted SASS record for that primary-key combination. Do not invent a different key simply to bypass the validation.

    Resubmit and inspect downstream records

    Verify one coherent SASS assignment, then confirm related CRSE sections and Fall 2 reports still connect to the correct SEID, school, year, and classification.

2026–27 Fall 2 working calendar

Before closing the correction

  • Confirm the accepted SDEM identity and employment history under the intended Reporting LEA and SEID.
  • Confirm the accepted SASS record under the intended academic year, school, and job classification.
  • Reconcile applicable CRSE records and Fall 2 staff reports after the upstream correction.
  • Check other staff records created by the same HR, SIS, integration, or extract rule.
