One person does not always mean one assignment record

Illustrative principle: a principal who also teaches may require more than one SASS job classification. Do not create duplicate SASS rows with the same primary-key combination.

    Clear the SDEM prerequisite gate

    Confirm the SEID and accepted SDEM employment history before deciding whether the assignment and FTE belong in the reporting period.

    Confirm the employee’s assignment

    Use authorized HR/personnel evidence to determine the actual portion of full-time work represented by this school and job classification.

    Distinguish FTE from percentage format

    If the source stores 1.0 as one full-time equivalent, the CALPADS extract may need to convert it to 100. A half-time assignment is represented as 50, not 0.5.

    Check split assignments

    For staff serving multiple schools or classifications, verify how the supported FTE is distributed. Review the complete set of SASS records instead of changing one row in isolation.

    Correct the source or export rule

    Repair the HR value, SIS entry, integration, or extract transformation that produced the low percentage. Check the affected population for the same scale error.

    Reprocess and reconcile

    Review the accepted SASS records and applicable Fall 2 reports. Confirm that changes did not create duplicate keys or an unsupported total across assignments.

  • Check other staff records created by the same HR, SIS, integration, or extract rule.
