What this assignment error means

CALPADS uses organization level as part of the code’s meaning. A charter administrator, principal, or assistant principal is not reported with a superintendent-level code merely because local titles sound similar.

Fields and records evaluated

  • 8.04 Reporting LEA
  • 8.05 School of Assignment
  • 8.15–8.21 Nonclassroom Based or Support Assignment Codes 1–7

Recommended correction path

  1. 1

    Locate the exact SASS row

Capture Reporting LEA, School of Assignment, Academic Year, masked SEID, Job Classification, FTE, and all seven support-assignment fields.

  2. 2

    Confirm the educator and organization

Match the SASS row to accepted SDEM history, HR/position-control evidence, the official school/LEA code, and the actual assignment.

  3. 3

    Test the exact rule

    • Locate 0100 or 0102 in any of fields 8.15–8.21.
    • Confirm whether the role is district/COE-level or school-level.
    • For district/COE reporting, verify both organizational fields use the seven-digit county-district code as instructed by CALPADS.
    • Do not translate a local executive title without reviewing duties and organization type.
  4. 4

    Find the first divergence

Inspect HR, position control, SIS scheduling, local code crosswalks, joins, and export calculations. Do not treat a job title as a CALPADS classification without checking duties.

  5. 5

    Make the supported correction

Report a genuine superintendent-level employee at the district/COE organization level, or replace the code with the supported charter/school administrator classification.

  6. 6

    Regenerate and reconcile

Confirm SASS acceptance, inspect Staff Profile Report 4.4 and Staff Nonclassroom Based or Support Assignment Detail Report 4.5, and reconcile affected CRSE sections and other staff produced by the same mapping.
