SDEM - Staff Demographics

SDEM errors involve identifying and demographic information for certificated and classified staff. They may concern SEIDs, names, employment dates, experience, education level, or other required values. Correct SDEM records before troubleshooting dependent staff assignment or course-section errors, since those files rely on an accurate staff record.

FRMT0001 Wrong field length

Field length does not match CALPADS File Specifications (CFS)

FRMT0004 Invalid characters for numeric field

Data for a numeric field must be a number or a decimal point.

FRMT0009 Invalid column count for file type

Format for invalid column (fields) count based on file type

GERR0001 Required Field Missing

A required field for the submitted Record Type is missing

GERR0002 Value Not Found in Reference Set

The value provided for the field is not a valid value from the CALPADS Code Sets

GERR0007 Code submitted outside the effective date range

Code submitted outside the effective date range

IVR0001 Invalid Submitter

Reporting LEA must equal institution identifier of submitter User ID

IVR0006 Invalid Academic Year

Academic Year ID must be a valid academic school year combination and no more than one year in the future

IVR0009 Invalid Characters in Field

Field must only contain Alphabetic letters, numbers, periods, hyphens apostrophes, forward slashes, spaces. Alphabetic characters with accents, tildes, or umlauts are allowed. Valid characters are based on the UTF-8 character set standards.

IVR0010 Missing Alias First Name

If Staff Alias Last Name is populated Then Staff Alias First Name must be populated

IVR0064 Invalid Effective Start Date - Academic Year combination

Effective Start Date must be within Academic Year specified

IVR0066 Effective End Date less than Effective Start Date

Effective End Date must be greater than or equal to Effective Start Date

IVR0067 Invalid Effective End Date - Academic Year combination

Effective End Date must be within Academic Year specified

IVR0106 Invalid SEID

SEID must be a valid SEID in the CCTC file

IVR0116 Duplicate Effective Start Date in the file

Two or more records exist in the submission with the same Effective Start Date

IVR0613 Effective Start Date greater than Current Date plus six months

Effective Start Date must be less than or equal to current date plus six months

SDEM0107 Invalid Staff Age

Staff Age must be greater than or equal to 18 and less than 95.

SDEM0109 Invalid Staff Ethnicity Missing Indicator and Staff Hispanic Ethnicity Indicator Combination

Staff Ethnicity Missing Indicator must accurately reflect what is populated in the Staff Hispanic Ethnicity Indicator

SDEM0110 Invalid Staff Race Missing Indicator and Staff Race Code Combination

Staff Race Missing Indicator must accurately reflect what is populated in the Staff Race Code Fields

SDEM0112 Staff Employment Start Date Greater than current date plus six months

Staff Employment Start Date must be less than or equal to current date plus six months

SDEM0113 Staff Service Years LEA Greater than Staff Service Years Total

Staff Service Years LEA must be less or equal to Staff Service Years Total

SDEM0114 Staff Employment End Date Less Than Staff Employment Start Date

Staff Employment End Date must be greater than or equal to Staff Employment Start Date

SDEM0200 Reporting LEA not open during Effective Period

Reporting LEA must be open during the effective date period.

SDEM0218 All associated Staff Assignment and/or Course Section records must be deleted before deleting the last remaining Staff Demographic record for SEID xxxxxxxxxx" (x’s represent the SEID number)
