What this error actually means

“Required” can depend on the transaction and other values. The row may have the correct number of columns while a required position contains no usable value.

Valid versus invalid

ExampleSubmitted value or conditionInterpretation
PresentThe required position contains a supported value.Confirm source evidence and code/format.
BlankTwo delimiters appear with nothing between them.Determine why the source or mapping omitted the value.
Whitespace onlyThe field contains spaces.CALPADS does not receive meaningful data.
Wrong columnThe value exists elsewhere in the row.Repair the mapping; do not duplicate values indiscriminately.

Fields validated

  • Any SDEM field conditionally or universally required by the current specification

Recommended correction path

  1. 1

    Open the rejected submission detail

Locate the exact physical row, field number, submitted value, Reporting LEA, SEID, Academic Year, and effective dates.

  2. 2

    Read the raw exported value

Do not rely only on the formatted HR or SIS screen. Inspect spaces, delimiters, zero padding, dates, and local code translations.

  3. 3

    Test this rule

    • Use the rejected field number to locate the exact SDEM position.
    • Determine whether it is always or conditionally required.
    • Check null/default conversion in HR, SIS, middleware, and export.
    • Verify the supplied value is also valid—not merely nonblank.
  4. 4

    Confirm correction authority

HR/personnel staff own authoritative employment and demographic facts; technical staff own mappings and export behavior; the CALPADS operator verifies the submitted representation. Protect confidential personnel data throughout the review.

  5. 5

    Correct the responsible source

Populate the evidence-supported value in the correct field or correct the transaction that made the field required. Never invent staff data to satisfy requiredness.

  6. 6

    Resubmit and reconcile downstream records

Confirm the row posts under the intended SEID and Reporting LEA. Review Staff Profile Report 4.4 and relevant Reports 4.1–4.5; then check whether the same mapping affected other staff, SASS assignments, or CRSE sections.
