What this error actually means

CALPADS uses age minus 17 as a reasonableness ceiling. The error does not establish which field is wrong: birth date, total service years, identity, or the calculation may be incorrect.

   Preserve the rejected evidence

   Capture the submission, row, field values, Reporting LEA, masked SEID, effective dates, and related SASS/CRSE identifiers before editing.

   Confirm the person and business key

   Use authorized evidence to match the educator, Reporting LEA, SEID, and effective period. Do not include SSNs in ordinary working notes.

   Test the exact rule

   • Confirm the row belongs to the intended employee and SEID.
   • Verify birth date through authorized HR evidence.
   • Reconcile total service across current and prior employers.
   • Check spreadsheet formulas, rounding, copied totals, and swapped LEA/total fields.

   Find the first divergence

   Determine whether the problem began in authorized personnel evidence, HR/SIS entry, a local crosswalk, an integration, file generation, or CALPADS history.

   Make the supported correction

   Correct the evidence-supported birth date, identity, or service-year total. Do not force the value down to the mathematical ceiling without historical support.

   Regenerate and reconcile

   Confirm the accepted SDEM history under the intended Reporting LEA and SEID. Review Report 4.4 and applicable Reports 4.1–4.5, then inspect other staff affected by the same mapping or workflow.
