What this error actually means

CALPADS derives age from the submitted birth date. The error commonly reflects the wrong year, transposed digits, a placeholder birth date, or the record of a different employee—not necessarily an implausible person.

    Preserve the rejected evidence

    Capture the submission, row, field values, Reporting LEA, masked SEID, effective dates, and related SASS/CRSE identifiers before editing.

    Confirm the person and business key

    Use authorized evidence to match the educator, Reporting LEA, SEID, and effective period. Do not include SSNs in ordinary working notes.

    Test the exact rule

    • Confirm the row belongs to the intended employee and SEID.
    • Compare the complete birth date with authorized HR/personnel evidence.
    • Check century, year, transposition, spreadsheet conversion, and placeholder dates.
    • Limit access to staff who need the birth date for the correction.

    Find the first divergence

    Determine whether the problem began in authorized personnel evidence, HR/SIS entry, a local crosswalk, an integration, file generation, or CALPADS history.

    Make the supported correction

    Correct the evidence-supported birth date or identity mapping. Never estimate an age or alter a valid birth date merely to pass the range.

    Regenerate and reconcile

    Confirm the accepted SDEM history under the intended Reporting LEA and SEID. Review Report 4.4 and applicable Reports 4.1–4.5, then inspect other staff affected by the same mapping or workflow.
