SDLA Flowchart: follow the staff data from source to certification

1 · Authoritative personnel evidenceHR, personnel, payroll, credentialing, and staff-provided records establish the supported facts.
2 · Local reconciliationResolve identity, SEID, employment dates, demographics, service history, and ownership across the systems that hold them.
3 · SIS or integration extractTranslate local values into the current 31-field SDEM layout, CALPADS code sets, and effective-date rules.
4 · CALPADS SDEM historyPost the supported staff demographic record and inspect the accepted effective-dated history under the correct SEID and LEA.
5 · Downstream review and Fall 2 certificationReconcile SASS and CRSE dependencies, Reports 4.1–4.5, Census Day inclusion, and certification totals.

Recommended correction path

  1. 1

    Preserve the rejected row

Capture the submission ID, row number, export time, and exact SDEM row before editing.

  2. 2

    Locate the field defect

Compare the complete field list with the current file layout, length, type, date, delimiter, and character rules.

  3. 3

    Trace the export path

Determine whether HR, payroll, the SIS, an integration, or a report definition transformed the value.

  4. 4

    Correct the authoritative source

Repair the source value or mapping so the next extract does not reproduce the defect.

  5. 5

    Regenerate and regression-check

Upload a scoped extract and inspect other rows created by the same rule.
