What CALPADS is rejecting

Field must only contain Alphabetic letters, numbers, periods, hyphens apostrophes, forward slashes, spaces. Alphabetic characters with accents, tildes, or umlauts are allowed. Valid characters are based on the UTF-8 character set standards.

What this error actually means

This error is about the exported character, not whether a person’s name seems familiar. Preserve the staff member’s actual legal or documented alias name and remove only unsupported characters or encoding artifacts.

    Preserve the rejected evidence

    Capture the submission, row, field values, Reporting LEA, masked SEID, effective dates, and related SASS/CRSE identifiers before editing.

    Confirm the person and business key

    Use authorized evidence to match the educator, Reporting LEA, SEID, and effective period. Do not include SSNs in ordinary working notes.

    Test the exact rule

    • Compare all six legal and alias name fields with authorized HR and credential records.
    • Inspect Unicode code points, smart punctuation, nonbreaking spaces, and copied formatting.
    • Test whether the source system or export changed a supported character.
    • Correct the source encoding or character—not the person’s identity.

    Find the first divergence

    Determine whether the problem began in authorized personnel evidence, HR/SIS entry, a local crosswalk, an integration, file generation, or CALPADS history.

    Make the supported correction

    Update the authoritative name or encoding transformation, regenerate the row, and audit other names produced by the same interface.

  6. 6

    Regenerate and reconcile

    Confirm the accepted SDEM history under the intended Reporting LEA and SEID. Review Report 4.4 and applicable Reports 4.1–4.5, then inspect other staff affected by the same mapping or workflow.
