SWDS — Students with Disabilities

SWDS errors involve a student’s special education eligibility and status information. These validations check disability, eligibility, entry, exit, and related status fields. Review the student’s special education history and ensure SWDS records align with the applicable meeting, plan, service, enrollment, and postsecondary records.

FRMT0001 Wrong field length

Field length must match CALPADS File Specifications (CFS).

FRMT0002 Wrong date format

Date format must match CALPADS File Specifications (CFS).

FRMT0009 Invalid column count for file type

Format for invalid column (fields) count based on file type

GERR0001 Required Field Missing

A required field for the submitted Records Type is missing.

GERR0002 Value Not Found in Reference Set

The value provided for the field is not a valid value from the CALPADS Code Sets.

GERR0005 - SWDS LEA does not have ownership of student to make the Special Education Status (SWDS Record) update

The Reporting LEA does not own the SWDS Status record.

GERR0007 Code submitted outside the Effective Date Range

Code must be submitted with an Academic Year ID that overlaps, on at least one day, the CALPADS effective date range for the code.

IVR0001 Invalid Submitter

The Reporting LEA of the submitter must equal the Reporting LEA in the record, or the Reporting SELPA of the submitter must have a relationship with the Reporting LEA in the record.

IVR0006 Invalid Academic Year

Academic Year ID must be a valid academic school year combination and no more than one year in the future.

IVR0007 Invalid SSID

SSID must be a valid CALPADS SSID in the ODS.

IVR0009 Invalid Characters in Field

Field must only contain Alphabetic letters, numbers, periods, hyphens apostrophes, forward slashes, spaces. Alphabetic characters with accents, tildes, or umlauts are allowed. Valid characters are based on the UTF-8 character set standards.

IVR0034 Duplicate Record within File

SWDS0343 Students who are Eligible and Participating must haveInitial Entry Start Date populated

If Special Education Status Code = 1 (Eligible and Participating) and Special Education Initial Entry Start Date is null

SWDS0353 Invalid Special Education Status Effective Start Date for Special Education Initial Entry Start Date

Special Education Status Effective Start Date for Eligible and Participating Student must be equal to or greater than Special Education Initial Entry Start Date

SWDS0355 Special Education Initial Entry Start Date is greater than current date

Special Education Initial Entry Start Date must be less than or equal to current date.

SWDS0443 Invalid SELPA for Reporting LEA

SELPA must be a valid Entity Code and have an active reporting relationship with the Reporting LEA.

SWDS0500 Invalid Academic Year based on Status Start Date

Academic Year ID must be the academic school Year associated with the Special Education Status Start Date

SWDS0517 Special Education Status Start Date must be less than or equal to current date

Special Education Status Start Date must be less than or equal to current date.

SWDS0593 Missing Non-Participating Reason Code

Non-Participating Reason Code must be populated when Special Education Status code is not equal to 1 (Eligible and Participating)

SWDS0594 Invalid Non-Participating Reason Code

Non-Participating Reason Code must be blank when Special Education Status Code = 1 (Eligible and Participating)

SWDS0595 Invalid Combination of Special Education Status Code and Non-Participation Reason

Special Education Status Code and Non-Participation Reason combination must be a valid combination per the CALPADS Valid Code Combinations document

SWDS0618 New Special Education Status must be different than previous Status

New Special Education Status must be different than previous Status

SWDS0648 Duplicate SWDS Status Effective Start Date

Student has an existing SWDS record with the same Special Education Status Effective Start Date

SWDS0665 Special Education Status Start Date for Eligible and Participating Record is greater than Current Date plus six months
