Severity: Fatal   Type: Certification Data Discrepancy

A course section includes a SEID for which there is no valid teaching assignment information

Records or fields compared

  • CRSE Data
  • SASS Data

The individual record may already have passed transactional validation. A CRSE teacher is not supported by a valid teaching assignment. Certification evaluates the assembled snapshot and its cross-record relationships.

What the certification snapshot is testing

QuestionMeaningOperational response
What passed? The source record was structurally acceptable.Do not assume acceptance proves that all companion records exist.
What was expected?A CRSE teacher is not supported by a valid teaching assignment.Compare the complete Fall 2 snapshot, not only the last uploaded file.
Who owns the evidence?HR/SASS assignment and master scheduleReconcile CALPADS with the authoritative source before editing.
What action is appropriate?Correct the teacher's SASS job classification/site or the CRSE instructorAdd, correct, close, or remove only records supported by evidence.

High-value checks

1 โ€” PopulationReview Report 4.4 for the SEID
2 โ€” RelationshipCheck every school assignment for multi-site staff
3 โ€” VerificationDistinguish teacher, charter non-certificated teacher and itinerant teacher

Recommended correction path

  1. 1

    Preserve the certification evidence

Capture the revision, school, reporting year, affected identifiers, and current detail-report rows.

  2. 2

    Verify the expected population

Determine whether the apparent gap is real, a legitimate zero, an exemption, or an incorrect source record.

  3. 3

    Trace the complete relationship

Compare the shared identifiers, effective dates, Census Day status, and related file families.

  4. 4

    Return to the authoritative source

Use hr/sass assignment and master schedule; protect staff and student information while reconciling.

  5. 5

    Apply the supported correction

Correct the teacher's SASS job classification/site or the CRSE instructor. Repair repeatable SIS, HR, SEDS, or scheduling mappings when applicable.

  6. 6

    Repost, regenerate, and compare

Wait for processing, regenerate the certification snapshot, and confirm both the error and downstream counts are corrected.

Retained official CALPADS guidance

Understanding the Error: A teacher* is reported on the CRSE that does not a valid SASS. See Report 4.4 - Staff Profile - List Suggested Resolution: 1) Verify that staff member has a valid job classification for a teacher. 2) If staff member has multiple assignments within the LEA, verify that each School of Assignment (DE 8.05) has a CRSE record. *see CALPADS Glossary: Teacher (https://documentation.calpads.org/Glossary/GlossaryMain/#glossary)
