Identify the duplicate pattern

What the rows showLikely causeCorrect response
Two identical rowsDuplicate extract, merge, or copyRetain one verified request and remove the duplicate from the source/output process.
Same Local ID, different schools or start datesMultiple enrollments were exported before SSID acquisitionSubmit one acquisition record first; after matching/obtaining the SSID, place that SSID on the additional factual enrollments.
Same Local ID, different studentsLocal identifier collisionCorrect the local IDs before submission; do not discard either student.
Student already has an SSIDSSID was omitted by the SIS or extractVerify identity and populate the existing SSID—never request a new one.

“Delete one duplicate” is safe only after comparison. First determine whether the rows are redundant, represent different students, or contain separate legitimate enrollments. Removing a factual enrollment without preserving it for later submission creates a new data problem.

Recommended correction path

  1. 1

    Filter by Local Student ID

Locate every row sharing the rejected value in field 1.09.

  2. 2

    Compare identity fields

Review name, birth date, gender, school, and local records to confirm whether the rows describe one student.

  3. 3

    Search for an existing SSID

Do not create a second statewide identifier for a student already known to CALPADS.

  4. 4

    Select one acquisition row

If an SSID is genuinely needed, submit one complete, accurate record with field 1.08 blank.

  5. 5

    Resolve the match

Complete the SSID matching/acquisition process and verify the assigned identifier belongs to this student.

  6. 6

    Submit remaining enrollments

Populate the verified SSID on each additional factual SENR row.

  7. 7

    Repair the extract

Correct duplicate joins, multi-school logic, or missing-SSID mapping that produced the file.
