CALPADS rule: Academic Year ID must be a valid academic school-year combination and no more than one year in the future
Severity: Fatal Type: Input Validation
Field validated:
- 1.07 Academic Year ID
Version 18 format: CCYY-CCYY Maximum length: 9 characters
Valid versus invalid examples
For the 2026–27 operating year, the current Academic Year ID is 2026-2027. Under the “no more than one year in the future” rule, 2027-2028 is the furthest prospective value; always recalculate this boundary for the current operating year.
| Submitted value | Result | Why | Correction |
|---|---|---|---|
2026-2027 | Valid format | Four-digit consecutive years separated by one ASCII hyphen. | Use when the file truly represents the 2026–27 academic year. |
2027-2028 | Format valid; future boundary | One academic year beyond 2026–27. | Use only for an authorized 2027–28 file—not because the SIS rolled over early. |
2028-2029 | Invalid in 2026–27 | More than one academic year in the future. | Confirm the SIS year, extract job, and intended submission period. |
2026-27 | Invalid | The ending year is abbreviated. | Submit 2026-2027. |
26-27 | Invalid | Both years are abbreviated. | Use four digits for each year. |
2026/2027 | Invalid | A slash replaces the required hyphen. | Submit 2026-2027. |
2026–2027 | Invalid or suspect | A typographic en dash may look like a hyphen but is a different character. | Use the ordinary keyboard hyphen-minus: -. |
20262027 | Invalid | The separator is missing. | Insert one hyphen between the years. |
2027-2026 | Invalid | The years run backward. | Place the starting year first. |
2026-2028 | Invalid | The years are not consecutive. | The second year must equal the first year plus one. |
Do not change student dates to match an Academic Year ID. First determine which part is wrong: the selected SIS year, the file-level Academic Year ID, or the underlying enrollment chronology. Enrollment dates must remain supported by authoritative records.
What commonly produces IVR0006
| Failure pattern | What it looks like | Durable correction |
|---|---|---|
| SIS rolled forward too early | A summer or test extract carries next year before staff intended to work in that academic year. | Verify the active SIS school-year context and extract parameters before regenerating. |
| Wrong year’s extract selected | The filename, folder, or report resembles the intended file but contains another Academic Year ID. | Inspect field 1.07 inside the file and strengthen human-readable naming and year-specific folders. |
| Fiscal-year convention substituted | Finance or HR systems supply a local label that does not match the CALPADS school-year format. | Maintain an explicit CALPADS Academic Year ID rather than reusing an unrelated period label. |
| Short year exported | The application displays “2026–27” and the report exports that presentation label. | Map the display label to 2026-2027 in the CALPADS extract. |
| Smart punctuation introduced | Word-processing or spreadsheet software changes the ordinary hyphen to an en dash or em dash. | Generate the value as controlled plain text and inspect its literal characters. |
| Copied report constant | A cloned extract retains last year’s or another LEA’s hard-coded Academic Year ID. | Replace fixed constants with a governed year parameter and test every copied report. |
| Spreadsheet conversion or whitespace | The cell contains hidden spaces, a formula result, or punctuation not visible at normal zoom. | Compare the untouched extract as plain text and normalize the producing rule. |
| Field shifted out of position | A valid academic-year value appears in the wrong column after an earlier field was lost. | Resolve the column-count/alignment problem before editing the year. |
| Historical correction generated from current context | An older enrollment is regenerated with the current SIS year simply because the correction is made today. | Confirm which academic-year value the historical transaction requires and preserve the true enrollment dates. |
Choose the year from the intended work—not from one convenient date
| Evidence | Question it answers | Caution |
|---|---|---|
| Selected SIS school year | Which operational year did the extract job query? | A user can be logged into the wrong year or an overnight job can retain an old parameter. |
| Extract configuration | Where is field 1.07 sourced or calculated? | A correct on-screen year does not guarantee that the file uses the same value. |
| Filename and controlled folder | Which year was the file intended to represent? | Filename evidence is helpful but never overrides the literal field value. |
| Enrollment start and exit dates | Does the student chronology reasonably align with the intended correction? | Dates can cross school-year boundaries; do not derive the file year mechanically from one date. |
| Submission instructions and reporting calendar | Which academic year is open or authorized for the task? | Open reporting activity does not justify a value more than one year in the future. |
| Untouched SENR text | What exact nine characters were submitted? | Spreadsheet display can conceal spaces, punctuation, and conversion damage. |
Trace the year from task to submission
Choose the diagnostic pathway
- Inspect the literal value
- What exact characters appear in field 1.07?
- Is the value exactly nine characters?
- Are both years four digits?
- Is character 5 an ordinary hyphen-minus?
- Are there leading/trailing spaces or invisible characters?
- Does the ending year equal the starting year plus one?
- Confirm the intended academic year
- What operational task is being performed?
- Is this a current record, prospective setup, or historical correction?
- Which SIS school year was selected?
- Which year does the controlled filename and folder indicate?
- Does the value exceed the current year plus one?
- Summer rollover and future-year setup
- Did the SIS recently promote or initialize a new school year?
- Did the extract job inherit the new default before submissions were intended?
- Are test, production, and rollover configurations separated?
- Is next year permitted, or is the value actually two years ahead?
- Which other files were generated after the rollover?
- Historical enrollment correction
- What enrollment event and dates are being corrected?
- Which Academic Year ID should the file associate with that work?
- Did the current SIS context overwrite a historically intended year?
- Are the dates themselves supported by authoritative records?
- Does the accepted history remain chronologically coherent?
- Spreadsheet, template, or manual file
- Was the value typed, concatenated, copied, or calculated?
- Did formatting shorten either year?
- Did smart punctuation replace the hyphen?
- Does a formula return text with hidden spaces?
- Was last year’s template copied without updating the controlled parameter?
- SIS, report, and vendor configuration
- Which field, parameter, or constant generates 1.07?
- Is the year calculated or hard-coded?
- Does the report use the same academic-year context visible to the user?
- Are different LEAs or extract jobs sharing an inappropriate default?
- Will the next scheduled extract reproduce the error?
Resolve the year before editing student facts
- IdentifyName the intended year.
- InspectRead field 1.07 literally.
- CompareTest format and boundary.
- RepairFix context or extract.
- ConfirmResubmit and reconcile.
Primary participants for this error
- CALPADS coordinator
- Registrar or enrollment staff
- SIS system owner
- Extract, integration, or vendor support
Choose the owner from the pattern
- Wrong file/year selected: submission operator and file-control process.
- Wrong SIS context: SIS year/setup owner.
- Malformed value: extract/report owner.
- Historical ambiguity: CALPADS and enrollment-records review.
Recommended correction path
Preserve the rejected submission
Capture the submission ID, filename, field 1.07 value, source file, selected SIS year, extract parameters, and error details.
Inspect field 1.07 as plain text
Verify the literal nine characters, ordinary hyphen, four-digit years, spacing, and full SENR row alignment.
Confirm the intended academic year
Determine whether the file represents current work, next-year setup, or a historical correction; do not infer the answer solely from upload date.
Test the consecutive-year rule
Confirm the second year equals the first plus one and the value is not more than one academic year in the future.
Verify SIS and extract context
Check the active school year, rollover status, report parameter, scheduled job, and file-selection process.
Correct the responsible source
Repair the selected year, governed parameter, report calculation, template, integration, or vendor configuration—not merely one output row.
Regenerate and preflight
Compare the untouched new file with the rejected file and inspect other submissions created by the same year logic.
Submit and reconcile enrollment history
Confirm IVR0006 clears and verify that accepted enrollment dates, schools, grades, and chronology still represent the intended academic-year work.
Official CALPADS guidance
Confirm that Academic Year ID reflects a consecutive two-year time span in CCYY-CCYY format—for example, 2026-2027—and is no more than one academic year in the future.
Before closing the issue
- Confirm field 1.07 contains exactly nine characters in
CCYY-CCYYformat. - Verify the second year equals the first year plus one.
- Confirm the value is no more than one academic year in the future.
- Verify the selected SIS year and file population match the intended work.
- Preserve authoritative enrollment dates and historical chronology.
- Test other files, LEAs, and scheduled jobs using the same year parameter.

Academic year, fiscal year, and calendar year
- CALPADS Academic Year ID: a nine-character consecutive-year identifier such as
2026-2027associated with the file. - Academic-year operating period: CALPADS commonly describes the academic year as July 1 through June 30, although instructional calendars and individual enrollment dates occur within that broader reporting context.
- Fiscal-year label: may resemble the same two years, but a finance-system convention is not automatically the CALPADS field value.
- Calendar year: January through December, such as
2026; it is not a valid Academic Year ID. - School-year display label: “2026–27” is readable to people but must be translated to the exact CALPADS value
2026-2027.
