Severity: Fatal Type: Certification Data Discrepancy
No course section data was submitted for a student with Enrollment Status of Short Term.
Records or fields compared
- SENR Data
- SCSE Data
Transactional acceptance is not the same as certification coherence. The snapshot is testing whether related records, effective dates and populations form one defensible Fall 2 account.
Correction ownership
| Question | Answer | Safeguard |
|---|---|---|
| What did the snapshot expect? | A short-term enrolled student has no SCSE participation in the snapshot. | Review the complete population |
| Where is the authoritative evidence? | SIS enrollment status/dates, master schedule and student schedule | Protect confidential records |
| What correction is supported? | Verify actual duration and participation; correct the schedule or the enrollment status/dates supported by evidence | Never add data merely to clear the error |
Five distinct causes to test
| Possibility | Evidence | Supported response |
|---|---|---|
| Genuinely missing schedule | Student attended a real section | Add/correct SCSE from the SIS |
| Wrong student, school, term or year | Shared keys do not match | Correct the faulty schedule relationship |
| Entry or exit near Census Day | Enrollment and attendance dates differ | Correct only the inaccurate dated record |
| Cancelled or never-taught lost section | Students were preassigned but the section remained on the books | Remove stale CRSE/SCSE preassignments |
| Wrong short-term status or duration | Actual enrollment history differs from code/dates | Correct supported SENR status or dates |
Never rewrite accurate enrollment dates solely to make an unsupported schedule pass.
Recommended correction path
- 1
Preserve the current snapshot
Capture revision, school, year, identifiers, counts and relevant detail rows.
- 2
Classify the discrepancy
Separate a true zero or legitimate exception from a missing, stale, duplicated, mis-keyed or out-of-period record.
- 3
Trace all companion records
Compare shared identifiers, effective dates, Census Day status and the complete history—not only the last upload.
-
4
Verify authoritative evidence
Use sis enrollment status/dates, master schedule and student schedule. Record what was checked and who confirmed it.
- 5
Apply only the supported correction
Verify actual duration and participation; correct the schedule or the enrollment status/dates supported by evidence. Repair repeatable source mappings where applicable.
- 6
Regenerate and reconcile
Wait for processing, rebuild the Fall 2 snapshot, confirm the error clears, and compare downstream counts and detail reports.
Retained official CALPADS guidance
Understanding the Error: A student reported with enrollment status 30 (short-term) does not have any associated course section data submitted. Suggested Resolution: Review the student’s enrollment record and enrollment status as of Census Day. 1) If the enrollment or status is incorrect, update the record in CALPADS. 2) If the enrollment and status are correct, verify whether course section records were submitted under an incorrect SSID. Check for a CERT005 error and confirm whether the course section record that triggered it belongs to this student. 3) If no course section records exist for the student, submit the appropriate Student Course Section record(s) using the correct SSID.
