Severity: Fatal Type: Certification Data Discrepancy
A student course section record was submitted for an SSID that was not enrolled on Census Day
Records or fields compared
- SCSE Data
- SENR Data
Transactional acceptance is not the same as certification coherence. The snapshot is testing whether related records, effective dates and populations form one defensible Fall 2 account.
Correction ownership
| Question | Answer | Safeguard |
|---|---|---|
| What did the snapshot expect? | A student-course record is not supported by SENR enrollment on Census Day. | Review the complete population |
| Where is the authoritative evidence? | SIS enrollment history, master schedule, section status and student schedules | Protect confidential records |
| What correction is supported? | Correct only the factually wrong enrollment or schedule record; remove stale preassignments from cancelled sections | Never add data merely to clear the error |
Five distinct causes to test
| Possibility | Evidence | Supported response |
|---|---|---|
| Genuinely missing schedule | Student attended a real section | Add/correct SCSE from the SIS |
| Wrong student, school, term or year | Shared keys do not match | Correct the faulty schedule relationship |
| Entry or exit near Census Day | Enrollment and attendance dates differ | Correct only the inaccurate dated record |
| Cancelled or never-taught lost section | Students were preassigned but the section remained on the books | Remove stale CRSE/SCSE preassignments |
| Wrong short-term status or duration | Actual enrollment history differs from code/dates | Correct supported SENR status or dates |
Never rewrite accurate enrollment dates solely to make an unsupported schedule pass.
Recommended correction path
- 1
Preserve the current snapshot
Capture revision, school, year, identifiers, counts and relevant detail rows.
- 2
Classify the discrepancy
Separate a true zero or legitimate exception from a missing, stale, duplicated, mis-keyed or out-of-period record.
- 3
Trace all companion records
Compare shared identifiers, effective dates, Census Day status and the complete history—not only the last upload.
- 4
Verify authoritative evidence
Use sis enrollment history, master schedule, section status and student schedules. Record what was checked and who confirmed it.
- 5
Apply only the supported correction
Correct only the factually wrong enrollment or schedule record; remove stale preassignments from cancelled sections. Repair repeatable source mappings where applicable.
- 6
Regenerate and reconcile
Wait for processing, rebuild the Fall 2 snapshot, confirm the error clears, and compare downstream counts and detail reports.
Retained official CALPADS guidance
Assess the student's enrollment. If student was enrolled in the LEA on Census Day but CALPADS does not show this Census Day enrollment, update enrollment in CALPADS. If student was not enrolled in the LEA on Census Day, remove the student course section record from your local SIS. If CALPADS contains correct information, no further action is necessary.
