Fall 2 certification rule
Severity: Fatal Type: Certification Data Discrepancy
If two or more CRSE records have the same Academic Year ID, School of Course Delivery, Academic Term Code, CRS-Local Course ID, and Course Section ID, then all records must have the same value in the Class ID field.
Records or fields compared
- 9.05 - School of Course Delivery
- 9.06 - Academic Year ID
- 9.08 - CRS-Local Course ID
- 9.14 - Course Section ID
- 9.15 - Academic Term
- Code
- 9.18 - Class ID
The individual record may already have passed transactional validation. Rows describing one course section carry different Class IDs. Certification evaluates the assembled snapshot and its cross-record relationships.
What the certification snapshot is testing
| Question | Meaning | Operational response |
|---|---|---|
| What passed? | The source record was structurally acceptable. | Do not assume acceptance proves that all companion records exist. |
| What was expected? | Rows describing one course section carry different Class IDs. | Compare the complete Fall 2 snapshot, not only the last uploaded file. |
| Who owns the evidence? | Master schedule section and class identifiers | Reconcile CALPADS with the authoritative source before editing. |
| What action is appropriate? | Make Class ID consistent or correct the rows that are actually different sections | Add, correct, close, or remove only records supported by evidence. |
High-value checks
Recommended correction path
- 1
Preserve the certification evidence
Capture the revision, school, reporting year, affected identifiers, and current detail-report rows.
- 2
Verify the expected population
Determine whether the apparent gap is real, a legitimate zero, an exemption, or an incorrect source record.
- 3
Trace the complete relationship
Compare the shared identifiers, effective dates, Census Day status, and related file families.
- 4
Return to the authoritative source
Use master schedule section and class identifiers; protect staff and student information while reconciling.
- 5
Apply the supported correction
Make Class ID consistent or correct the rows that are actually different sections. Repair repeatable SIS, HR, SEDS, or scheduling mappings when applicable.
- 6
Repost, regenerate, and compare
Wait for processing, regenerate the certification snapshot, and confirm both the error and downstream counts are corrected.
Retained official CALPADS guidance
Understanding the Error: There are more than one CRSE records that have the same primary Course information (Course Section ID, Local Course ID, School of Course Delivery, and Academic Term Code) with different Class IDs. Suggested Resolution: Update one or more of the CRSE records so that they do not have the same Course information or if Course information is correct, ensure the Class ID is same for all the CRSE records.
