Remember the conditionally required fields

GERR0001’s published field list is not the entire story of SENR requiredness. Version 18.0 makes additional fields required when a transaction or student circumstance triggers the condition.

Never populate a required field with a guess or placeholder: A nonblank value may clear GERR0001 while creating an identity, code-set, chronology, ownership, graduation, or accountability error. Establish the correct value from authorized evidence and fix the owning system.

How the blank reaches CALPADS

If many students fail on the same field, investigate the shared mapping or configuration. If one student fails, inspect that student’s source record and import history first.

Choose the diagnostic pathway

    • Does the untouched export match the file that was uploaded?

    • Do legal name, birth date, gender code, birth country, and local ID belong to the intended student?
    • Does the cumulative record support the SIS value?
    • When authorized and applicable, does accepted identity documentation resolve the discrepancy?
    • Does the correction belong in SINF or another demographic process as well as the local source?
  • Enrollment and ownership fields
    • Which LEA and school own the enrollment?
    • When was the student first expected to attend?
    • Is the enrollment primary, secondary, short-term, or non-ADA?
    • What grade level applies to this enrollment?
  • Crosswalk or configuration defect
    • Does the local value exist but fail to map to a CALPADS value?
    • Are all failures tied to one school, grade, status, country, or scheduled export?
    • Was the current academic year and Version 18 layout selected?
    • Will the next extract reproduce the blank?

Choose the owner from the failure pattern

  • One student: verify the source record and authorized evidence.
  • One local code: inspect the crosswalk.
  • One school or job: inspect configuration and parameters.
  • Every row: inspect the extract definition and file version.

Recommended correction path

  1. Preserve the rejected row and error details

    Capture the submission ID, row number, exact field named, transaction type, export time, and untouched file before editing.

  2. Confirm that the field position still exists

    Verify the SENR row retains all 35 positions. If a column or delimiter is structurally absent, resolve FRMT0009 rather than filling the wrong position.

  3. Determine why the field is required

    Identify whether it is always required or became required because of enrollment status, transaction type, exit, completion, transfer, graduation, or special-education conditions.

  4. Establish the correct value from evidence

    Use authorized identity, enrollment, attendance, school, academic-year, grade, exit, graduation, or program documentation appropriate to the field.

  5. Compare source, SIS, and extract

    Locate the first place the verified value becomes blank: source record, SIS field, crosswalk, report, integration, spreadsheet, or submission file.

  6. Correct the owning system or mapping

    Follow the authorized local process. Avoid a one-time file edit or invented placeholder that the next extract will overwrite.

  7. Regenerate and validate the exact field

    Confirm the value appears in its correct SENR position and satisfies the current format, length, and code-set requirements.

  8. Submit and inspect the affected population

    Confirm GERR0001 clears, verify the accepted enrollment, and test other records produced by the same field, code, school, or export rule.

Understanding the error: An enrollment file with Record Type SENR has specified fields that are required to be submitted. One or more required fields is missing in the submitted file.

Things to check for in submission: Verify that the fields listed in the Fields Validated column are included in the submitted file. Suggested Resolution: 1) Review the current CALPADS Code Sets and File Specifications for required fields. OR 2) If the file was produced from a local SIS, contact the vendor or technical resource to determine why the required field is blank and how to correct it.

Before closing the issue

  • Confirm GERR0001 no longer appears for the intended student and enrollment.
  • Verify the value remains in the correct SENR position and the row still contains all 35 fields.
  • Confirm the value agrees with authorized evidence and current CALPADS requirements.
  • Verify the complete accepted enrollment history and connected student records.
  • Document the evidence, correction owner, source location, affected population, and prevention step.
