CALPADS rule: Enrollment Exit Date must be less than or equal to the current date plus 30 days.

Severity: Fatal   Type: Input Validation

Field validated:

  • 1.25 Enrollment Exit Date

The “current date” is the date CALPADS processes the submission—not necessarily the date the exit was entered in the SIS or the file was generated.

A future Exit Date is not automatically wrong. CALPADS explicitly permits a projected exit up to 30 days ahead. The operational question is whether the date is accurate, sufficiently near, and supported by an exit event that should already be reported.

Count the 30-day window from processing time

Illustrative examples using a fictional CALPADS processing date of August 20, 2026
Submitted Exit DateDays from processingLikely resultOperational response
20260819One day earlierInside this rule’s limitVerify the student actually exited and the date/reason describe the event.
2026090516 days laterInside the 30-day windowA supported projected exit may be submitted, subject to all connected rules.
2026091930 days laterAt the stated boundaryConfirm the processing date and exact day calculation.
2026092031 days laterSENR0019 expectedIf accurate, hold the complete exit set until it enters the window.
20270610Far beyond the windowSENR0019 expectedCheck for a wrong year, rollover, projected graduation, or extract mapping defect.

Unlike SENR0014’s “three months” language, SENR0019 states 30 days. Count days rather than substituting one calendar month, especially around February and 30-/31-day months.

Correct the date—or hold the projected exit?

Use the factual event to choose the action
What the evidence showsAppropriate responseWhat not to do
The student already exited; the submitted year/date is wrongCorrect the authoritative enrollment record and regenerate the SENR file.Wait for an inaccurate future date to become acceptable.
A confirmed projected exit is 30 days or less awaySubmit the supported date/reason together under the current workflow.Change the projected date to today.
A confirmed projected exit is more than 30 days awayPreserve the SIS plan, but hold the complete CALPADS exit set until eligible.Transmit a reason without its date or move the date earlier.
The departure is tentativeKeep the enrollment open and follow the local confirmation process.Close the enrollment based solely on an anticipated move or application.
The student remained after a projected exitRemove/revise the planned exit before it posts and continue the enrollment.Leave a future closure in place after circumstances changed.
SIS is correct; file is wrongRepair the report, mapping, filter, date calculation, or segment selection.Overwrite correct source data to compensate for an extract defect.

Treat the exit as a coherent field set

Values to review when an exit is held or released
Field/valueRelationshipCheck before submission
1.25 Enrollment Exit DateEstablishes when the enrollment ended or is projected to end.Within 30 days, on/after Start Date except supported N470, and factually accurate.
1.26 Student Exit Reason CodeExplains why the same enrollment ended.Must not remain populated when Exit Date is withheld; must describe the actual event.
1.27 Completion StatusApplies to supported completion exits such as E230.Do not transmit premature graduation/completion claims; confirm valid reason/status/grade combinations.
Enrollment Status and GradeProvide context for the enrollment and some exit combinations.Confirm the planned exit is associated with the correct segment and student.
Subsequent enrollmentMay depend on or conflict with the projected closure.Avoid artificial gaps, overlaps, or future transitions that did not occur.

What commonly produces SENR0019

Symptoms, likely causes, and durable corrections
What you findLikely causeDurable correction
Month/day look correct; year is aheadWrong academic year, rollover, or copy-forward entry.Verify the actual exit and correct the enrollment source.
Many seniors share a distant June dateProjected graduation exits were exported months too early.Retain supported planning locally and release the complete exit set within the window.
SIS date is within 30 days; file date is notReport calculation, wrong segment, or mapping altered field 1.25.Repair the extract and regression-test other exit records.
Reason remains after Exit Date is removedThe hold process suppresses only field 1.25.Control the entire dependent exit set to prevent SENR0015.
Projected exit keeps reappearingThe extract has no eligibility filter or monitored deferral queue.Add a processing-date rule and accountable release workflow.
Student’s plans changedA tentative transfer, move, or completion date was never reversed.Update the authoritative enrollment before it reaches CALPADS.
Boundary result differs from staff expectationOne calendar month was mistaken for 30 days, or staff used file-generation date.Count from CALPADS processing date and preserve the exact submission evidence.

Choose the diagnostic pathway

  • Calculate the exact window
    • When did CALPADS process the row?
    • What exact CCYYMMDD value appears in field 1.25?
    • How many days separate the two dates?
    • Did staff mistakenly use file-generation date or one calendar month?
    • Is the record exactly at the boundary?
  • Verify the exit event
    • Has the student already left, or is departure projected?
    • Is the plan confirmed or tentative?
    • What is the supported last date the student is expected to attend?
    • Do withdrawal, transfer, completion, attendance, and school-calendar evidence agree?
    • Did the student remain after the original projection?
  • Review the complete exit set
    • Are Exit Reason or Completion Status already populated?
    • Will blanking only Exit Date trigger SENR0015?
    • Does the reason describe the same event and date?
    • Do grade, status, and completion combinations remain valid?
    • Is a subsequent enrollment tied to the projected exit?
  • Inspect SIS and extract
    • Does the SIS contain the same projected date?
    • Did rollover, import, report, or mapping change the year/date?
    • Did the extract select the wrong enrollment segment?
    • Can the extract hold all dependent exit fields together?
    • Will the next file reproduce the rejection?
  • Manage deferred exits
    • Who owns the future-exit work queue?
    • On what date does the record enter the 30-day window?
    • How will changed plans be detected before release?
    • Will the record be regenerated from the current SIS rather than an old file?
    • Who verifies the actual exit afterward?
  • Review downstream chronology
    • Could premature exit affect attendance, programs, SELA, assessment, cohort, dropout, or special education?
    • Would it create a gap or overlap with another enrollment?
    • Is a projected completion status supported?
    • Does the final accepted history match what occurred?

Move a projected exit through the window

  1. EvidenceConfirm projected exit.
  2. WindowCount from processing.
  3. Hold/releaseKeep fields together.
  4. SubmitRegenerate current data.
  5. VerifyConfirm actual outcome.

Primary participants

  • Registrar or enrollment staff
  • CALPADS coordinator
  • School-site office or attendance staff
  • Graduation/cohort staff when applicable
  • SIS owner and vendor/integration support

Future-exit control

  • Preserve accurate source information.
  • Hold the complete exit set.
  • Assign an eligibility date and owner.
  • Regenerate before submission.
  • Confirm the actual departure.

Recommended correction path

  1. Preserve the rejection

Capture the submission ID, processing date, SSID, enrollment key, raw row, and complete exit field set.

  2. Confirm the intended enrollment

Match student, school, start date, enrollment status, grade, and SIS segment.

  3. Verify the exit date

Use attendance, withdrawal, transfer, completion, and school-calendar evidence to establish the last expected attendance date.

  4. Count 30 days from processing

Determine whether the supported date is eligible now, exactly at the boundary, or premature.

  5. Correct an inaccurate date

Repair the SIS year/date, rollover, segment, import, report, or mapping that produced the wrong value.

  6. Hold an accurate premature exit

Keep the factual planning record but exclude Exit Date, Reason, and dependent completion values from CALPADS until eligible.

  7. Assign the deferred record

Record its eligibility date, responsible owner, review trigger, and method for detecting changed plans.

  8. Regenerate, submit, and verify

Use current SIS data, confirm SENR0019 and paired-field errors clear, and inspect the CALPADS enrollment.

  9. Confirm the actual outcome

After the projected date, verify the student left as reported and correct the record if circumstances changed.

Before closing the issue

  • Confirm the Exit Date is supported—not merely within 30 days.
  • Verify the calculation uses the CALPADS processing date.
  • Ensure deferred Exit Date, Reason, and completion values are held together.
  • Confirm the SIS and extract will not recreate a premature or partial exit.
  • Assign ownership for any deferred transaction and eventual outcome check.
  • Review connected enrollment, attendance, cohort, program, and special-education effects.
