Record the submission ID, row number, file name, export time, delimiter, and exact rejected SOFF row. Keep an untouched copy for comparison.

Locate the field precisely
Compare the row with the current 15-field SOFF layout and the complete validated-field list below. Check length, position, delimiter, blank placeholders, encoding, and hidden characters.

Compare SIS and extract mappings
Trace the value from the discipline module through local code translations into the SOFF extract. Confirm the extract uses the current CALPADS layout.

Correct the source or generator
Repair the authoritative value, translation table, or report definition. Do not hand-edit only the upload file when the next extract would reproduce the defect.

Regenerate and regression-check
Create a scoped incident extract, compare SINC, SIRS, and SOFF keys, upload it, and check other records produced by the same mapping.

Before closing the ticket
- Confirm the corrected SOFF record under the intended student and Incident ID Local in CALPADS.
- Reconcile the related SINC parent and every applicable SIRS/SOFF child record.
- Document whether the defect arose in source evidence, coding, translation, enrollment, configuration, or extract logic.
- Check other incidents affected by the same local rule before EOY 1 certification.
