Recommended correction path

    Preserve the rejected evidence

    Save the submission ID, rejected SOFF row, error details, and an accepted comparison before changing any source record.

    Reconstruct the documented event

    Match the student, school, academic year, Incident ID Local, incident date, offense findings, and result documentation in the behavior management system and supporting records.

  3. 3

    Compare the Version 18 layout

    Check the 15-field SOFF layout, field order, delimiters, data type, maximum length, and permitted characters. Repair the extract mapping rather than hand-editing one upload.

  4. 4

    Correct the source workflow

    Update the behavior management system, SIS, or controlled crosswalk that produced the error. Document the correction owner and retain the source evidence.

    Rebuild the complete incident chain

    Generate a small corrected set and reconcile SINC, SIRS, and SOFF by School of Attendance, Academic Year ID, Incident ID Local, and student. Submit in the required sequence and confirm acceptance.

    Check for systemic impact

    Review other records produced by the same rule, default, code crosswalk, or vendor extract so the next full submission does not recreate the error.
