MEET0624E1: Missing Special Education Status Record

If a non-Pending Meeting exists for the SSID, there should be at least one SWDS Status record

Official Version 18 validation

Severity: Fatal   Type: CDD

A non-pending MEET record in the July 1–June 30 reporting period has no SWDS status record for the SSID, regardless of Reporting LEA.

Fields validated: SWDS Data

Recommended correction path

  1. 1

    Save the cross-file detail

Capture SSID, meeting identifier/type/date/status, Reporting LEA, and all available SWDS history.

  2. 2

Confirm the MEET record is valid

Have special-education staff verify the meeting occurred, was not pending, and is correctly classified as a plan review or reevaluation.

  3. 3

    Confirm student identity across systems

Reconcile SSID and local special-education identifiers, including records reported by another LEA.

  4. 4

    Reconstruct SWDS chronology

Review status effective dates, eligibility and participation evidence, exits, transfers, and reporting ownership surrounding the meeting date.

  5. 5

    Correct the supported record

Submit or repair SWDS only when authorized status evidence exists; otherwise correct or remove an unsupported MEET record through the special-education source.

  6. 6

    Coordinate cross-LEA evidence

When another LEA reported the status, confirm the record is present and correctly linked rather than duplicating it locally.

  7. 7

    Reprocess the timeline

Verify MEET and SWDS form a coherent lifecycle and the fatal validation clears.

Before closing the correction

  • The non-pending meeting is supported and correctly classified.
  • Student identity is consistent across MEET and SWDS.
  • SWDS status is supported by effective-dated evidence.
  • Cross-LEA history is reconciled without duplication.
