My Zoom or Microsoft Teams Screen Share Is Not Working
Confirm presenter permission, select the intended window or screen, and include computer sound only when the shared lesson needs it.
Teacher
The Share control is missing or unavailable, or participants see a blank, frozen, silent, or incorrect screen when I present in Zoom or Microsoft Teams.
Follow these steps in order.
-
1
Confirm that you are allowed to present
If the Share control is missing or unavailable, ask the organizer or host to make you a presenter or allow participant sharing. If the organizer cannot change it, an account or district policy may be controlling the feature.
-
2
Choose the correct window or screen
Share a single application window when participants need only that lesson. Share the entire screen only when you must move among applications, and remember that everything visible on that screen may be shown. Confirm the sharing indicator before continuing.
-
3
Include computer sound when the lesson needs it
For a video or other media, turn on Share sound in Zoom or Include sound in Microsoft Teams before selecting the content. This sends the computer's media audio; simply increasing the classroom speaker volume does not send that sound to remote participants.
-
4
Restart the share if it is blank or frozen
Stop sharing, bring the intended window to the front, and share it again. If a selected application remains blank, try sharing the approved full screen after closing private content. On macOS, Zoom, Teams, or the browser may also need screen-recording permission.
-
5
Rejoin or restart once
Leave and rejoin the meeting after confirming that the correct application or supported browser is in use. If needed, close the meeting application completely and restart the device once. Record whether another approved meeting, browser, or device can share successfully.
Copy-and-paste message for local IT
Screen sharing in [Zoom/Microsoft Teams] on [district device/browser] is [missing/unavailable/blank/frozen/silent/showing the wrong content]. My meeting role is [organizer/host/presenter/attendee]. I tested [window/full screen], confirmed [Share sound/Include sound/not applicable], stopped and restarted the share, and rejoined or restarted once. [Another meeting/browser/device] returned [result]. Please review screen-recording permission, meeting policy, and application or browser support.
Stop and escalate when
The Share control is locked by policy, screen-recording permission is managed, the same failure occurs in a private test meeting, or multiple teachers are affected. Account policy, security permission, application deployment, and network changes belong to authorized support staff.
