A substitute or new employee needs access

Confirm that the person's employment or assignment record is active and that required onboarding is complete.

A substitute or new employee cannot reach the systems needed for class. What information should I provide to IT to get them connected?

Quick Fix

Give IT enough information to verify the person's assignment and provision only the access needed for the work.

Include in the request:
  • The substitute's or new employee's full name.
  • The class periods they should be able to access for grades 6–12.
  • Each system and app required for the assignment.
  • The substitute's start and end dates, when applicable.
  • The school or work location and the name of the supervising administrator or department, if your local process requires it.

Keep the class moving

Provide a temporary instructional plan that does not require someone else's credentials while authorized accounts and permissions are created. Use district-approved shared materials, printed directions, or another approved classroom workflow.

Do not use another employee's account as a shortcut. Access should be associated with the person performing the work and should end when the assignment ends.

Keep in mind: Never share another employee's credentials or leave a classroom account signed in for someone else.
