Why CALPADS protects these records
Meal eligibility is sensitive student information that may affect benefits, LCFF-related reporting, and other downstream uses. A user’s general SPRG or school access does not necessarily authorize that user to create or change free or reduced-price meal records.
This error says nothing about whether the student is eligible. It says the current account is not authorized to post the record.
Do not change code 181 or 182 merely to bypass the role check. Verify both the underlying eligibility evidence and the submitter’s job-related need for access.
Keep the processes distinct
| Process | What it establishes | What to verify |
|---|---|---|
| Local meal eligibility determination | The student’s supported free or reduced-price status | Authorized nutrition/benefits records |
| Direct certification or statewide match | Status supplied through an authoritative matching process | Do not manufacture a duplicate local record |
| CEP or another school meal provision | How meals are offered at the school | Do not assume every student has an individual income determination |
| CALPADS user role | Who may post or edit protected records | Least-privilege access approved by the LEA administrator |
Recommended correction path
- 1
Confirm the intended record
Verify that code 181 or 182 is supported for this student and reporting period.
- 2
Confirm the submitting account
Check the user, LEA, school scope, and whether the account is the appropriate one for this work.
- 3
Contact the LEA CALPADS Administrator
Request review of the Free and Reduced Price Meal EDIT role. Access should be granted only when duties and local privacy controls support it.
- 4
Use an authorized workflow
If the user should not receive the role, route the supported correction to an authorized staff member rather than sharing credentials.
- 5
Post and document
After access is resolved, submit the supported record and retain the local authorization and source-evidence trail.
