In Plain Language: By November 15, resolve each sampled application as no change, increased benefits, reduced benefits, terminated benefits, or another permitted status; complete follow-up and notice requirements before changing the benefit system.

Why this matters

Stopping after one unanswered letter or changing benefits before required notice can harm families and create invalid results. The completed case file must explain both the evidence and the effective benefit action.

Primary ownership

Primary owner: SFA verification official. Partners: benefit-issuing/POS staff, nutrition director, direct-certification staff, language-access staff, hearing official, school contacts, and households.

Operational workflow

  1. 1. Review the verification control log and identify every unresolved sampled application.
  2. 2. Complete required follow-up, direct verification, document review, and household assistance.
  3. 3. Make and independently review each final eligibility determination.
  4. 4. Issue required notices and observe applicable advance-notice/hearing protections before adverse changes.
  5. 5. Update the benefit/POS system, reconcile the final outcome totals, and close every case by November 15.
