Review Every Conditionally Admitted Pupil at Least Every 30 Days
A pupil-level follow-up control for calculating the next dose window, notifying the family, updating the health record, and preventing a conditional status from becoming an unnoticed overdue status.
In Plain Language: Conditional admission is limited: the pupil has started the required series and is not currently due for a dose, has a qualifying temporary exemption, or fits another permitted category. Every 30 days, review the record, tell the family which doses remain and when they are due, and update the pupil's record.
Why this matters
Without a calendar tied to the actual dose date and regulatory interval, pupils remain mislabeled as conditional after a dose becomes overdue.
Joint ownership
Clinical owner: school nurse/health services. Tracking owner: registrar or trained health clerk under appropriate supervision. Partners: family, provider, CAIR/CAIR-ME staff, attendance, and enrollment.
Operational workflow
- 1. Create a conditional roster with source record, missing doses, earliest administration date, exclusion deadline, and exemption expiration.
- 2. Review each record at least every 30 days and sooner when a dose or exemption deadline occurs.
- 3. Notify the parent/guardian of remaining doses, due dates, acceptable documentation, and consequences of missing the deadline.
- 4. Update the Blue Card/equivalent immediately when documentation arrives; recalculate the next due dose.
- 5. Move the pupil to complete, continuing conditional, or overdue/exclusion workflow and verify the change.

- Review the source record and regulatory table.
- Notify the family of the next required action and date.
- Update the pupil record when proof arrives.
- Escalate before—not after—the exclusion deadline.
