In Plain Language: Report FY 2026–27 Q1 expenditures: July 1–September 30, 2026 in ASSIST. Reconcile the report to the general ledger, approved grant budget, site/program records; clear system errors, certify by the deadline, and retain the submitted output.

Why this matters

Quarterly reporting connects program delivery to allowable spending. Late, unsupported, cumulative-versus-quarter confusion, or wrong-grant entries can delay payments and create monitoring findings.

Primary ownership

Primary owner: ASES grant administrator with expanded-learning fiscal lead. Partners: site coordinators, attendance/data staff, payroll, accounts payable, contracted providers, budget, authorized ASSIST user, and superintendent/designee.

Operational workflow

  1. 1. Confirm the correct FY2026–27 grant, quarter, sites, and ASSIST report.
  2. 2. Close quarter expenditures and reconcile ledger, payroll, invoices, contracts, transfers, and approved budget.
  3. 3. Compare quarter and cumulative totals with prior ASSIST reports and program activity.
  4. 4. Resolve unsupported, miscoded, outside-period, or unallowable costs and obtain fiscal/program review.
  5. 5. Submit/certify by the deadline and retain final output/status.
