SDEM - Staff Demographics

The CALPADS Staff Demographics (SDEM) file asks for the demographic info on any credentialed employee (teachers, administrators, counselors), but does not track certificated employees. The file layout asks for each employee's date of birth, ethnicity, # of year's in the district, # of year's employed in education, and a few other data points.

Data for a numeric field must be a number or a decimal point.

GERR0001

A required field for the submitted Record Type is missing

GERR0002

The value provided for the field is not a valid value from the CALPADS Code Sets

GERR0007

Code submitted outside the effective date range.

(e.g. you've entered a school entry date that exists BEFORE the student's birth date)

GERR0008

The value provided for the field is not a valid CALPADS Transaction Type Code

Academic Year ID must be a valid academic school year combination and no more than one year in the future

SDEM0009

Field must only contain Alphabetic letters, numbers, periods, hyphens and apostrophes.

If Staff Alias First Name is populated Then Staff Alias Last Name must be populated

SEID must be a valid SEID in the CCTC file

Staff Age must be greater than or equal to 18 and less than 95.

If Staff Hispanic Ethnicity Indicator is populated, then staff Ethnicity Missing Indicator must be equal to N or blank; ELSE, Staff Ethnicity Missing Indicator must equal Y AND Staff Hispanic Ethnicity Indicator must be NULL

If one or more of the Staff Race Codes are populated, then Staff Race Missing Indicator must be equal to N or blank; ELSE, Staff Race Missing Indicator must be equal to Y AND all Staff Race Code values must be NULL.

Staff Employment Start Date must be greater than Staff Birth Date plus 18 years

SDEM0112

Staff Employment Start Date must be less than or equal to current date plus six months

Staff Service Years LEA must be less or equal to Staff Service Years Total

Staff Employment End Date must be greater than or equal to Staff Employment Start Date

Staff Service Years LEA Total must be less than or equal to Staff Age minus 17
